FWF: New application guidelines and sustainability statement
In early November, the FWF adapted the application guidelines for principal investigator projects (PDF). Proposals that are submitted later than 30 Nov. 2025 now need to include a sustainability statement as Annex 4.

Reminder
FWF Open Access block grants are now handled centrally at Univie!
As per 2024-01-01, the FWF has transferred the processing of FWF Open Access publication costs to Univie. Therefore, open access related costs incurred within the framework of FWF projects are no longer reimbursed by the FWF, but are paid directly by Univie's Open Access Office.
Such costs should not be paid personally since they are now defrayed centrally on application with the Open Access Office.
Should you have any further questions, please contact the Open Access Office.

How to apply through the faculty
- Prior to submitting, please send your application draft (or the finished version if applicable) incl. budget and other relevant documents to our service address (drittmittelservice.philkult(at)univie.ac.at) for checking. Please allow up to 3 weeks for the check.
- The Faculty's external funding coordinator will review the budget and the application for completeness and with regard to formal requirements. Documents related to FWF-PROFI mode applications need not be sent by e-mail if they are accessible in ELANE, but we would ask you to inform the coordinator (drittmittelservice.philkult(at)univie.ac.at) if you wish your application documents to be reviewed. At the very latest, however, please inform the coordinator when you are ready to submit.
- If you require support, e.g. with cost calculation, you are very welcome to contact Third Party Funding Services at any time. Furthermore, calculation tools and other helpful links are available in the internal area/WIKI.
- The faculty also requires a confirmation by the head of department that the project will be implemented at the department and that the necessary infrastructure (work spaces, in particular) will be made available. An informal e-mail from the HoD to drittmittelservice.philkult(at)univie.ac.at is sufficient. If the head of department is the PI, the application must be okayed by the deputy head of department.
- In case you suspect that you might be affected by §109 (successive contract regulations), please contact HR to double-check in advance.
- When you are ready to submit, please send the finalised application documents for documentation in u:cris as well as any documents the Dean needs to sign to drittmittelservice.philkult(at)univie.ac.at, except once again for FWF applications that are administrated via ELANE.
- The finished and signed documents well be returned to you within a week (within two weeks outside of term time) if a scanned version is sufficient. If the original signature is required, we will contact you and ask you to collect the signed papers at the Dean's office.
- The application including all relevant documents will be entered into u:cris. However, these data are kept strictly confidential and are accessible only by the applicant themselves and a small circle of administrative staff.
- Please inform us of the funding agency's decision as soon as you receive it. In case of a favourable decision, the faculty requires the funding contract as well as the definite start date; in case of a negative decision, please provide the date of rejection. These data and documents will also be archived in u:cris.
- Successful applications are recorded in u:cris as "Grants" (and subsequently as "Projects"). The grant entry is the basis for the creation of an Innenauftragsnummer (IAN, i.e. internal order number) by Accounting and Finance. The IAN (which is necessary for the financial administration of your project via univie's account), as well as other relevant information, will be mailed to you by Accounting and Finance, usually about a month before the start date.
- Currently, FWF funding contracts are processed through a system called sProof. In order to sign electronically, an AustriaID is required. Further information can be found here: Intranet: FWF Specifics.
Currently, all "ad personam" applications (§26, applicants as contract partners) as well as all §27 applications (the university/institution as contract partner) with a budget < € 100,000 are administrated and processed by the faculty, and hence signed by the Dean.
§27-projects with a budget ≥ € 100,000 must be submitted through Research Services and Career Development (DLE FSNF). In particular, this concerns EU, FFG, ERASMUS+ etc.; they are reviewed and administrated by Research Services and signed by the Vice Rector.
Please note: There are exceptions with regard to some FWF-programmes - in these cases, the budget limit is € 700,000. Only budgets of € 700,000 and above are approved by the rectorate, lower budgets are approved by the faculty. Currently, this applies to the following programmes:
• FWF ESPRIT
• FWF Principal investigator Projects (PAT)
• FWF "1000 Ideas Programme" (TAI)
• FWF Science Communication
• FWF Top Citizen Science Programme (TCS)
However, please also inform the faculty of applications administrated by Research Services, since the faculty is involved in those cases as well (e.g. work spaces, employment and career development, overheads). With some projects, such as FWF ASTRA and ERC grants, a written declaration of support issued by the faculty is required. Further information is provided by Research Services.
An overview of the application process (signature regulations) at univie can be found here:
Application via ELANE in PROFI mode:
We can see your PROFI application in ELANE and also edit it once you have affiliated your application with our faculty. If you wish your application to be checked, you are kindly asked to contact us, since we do not interfer with application during the assembly process. However, please do not submit before the faculty's third party funding services (or, if applicable, Research Services/DLE FSNF) have completed a final check and review.
Please note that once you have submitted, your application must be approved by the faculty; however, at this point, further changes are possible only to a limited extent.
NB: The same applies to the preparation of contracts that are processed via ELANE. In these cases, you need to submit the relevant contract information (incl. a data management plan etc., as specified by the FWF), which is then approved by the faculty. After this, the FWF will issue a contract.
